    Tax Administrative Assistant

    We are a growing Silicon Valley-based public accounting firm seeking a dependable administrative assistant to fill a full-time staff position in our expanding practice. Candidates must be computer literate and highly organized with excellent written and oral communication skills. Successful candidates will have a positive attitude, excellent work ethic and willingness to learn.

    Essential Duties & Responsibilities:

    • Answers multi-line telephone system, takes accurate messages and transfers telephone calls to the appropriate personnel in polite, professional and efficient manner.
    • Schedule client appointments as necessary and organize conference and meeting room bookings.
    • Greet and screen incoming visitors in a professional manner and promptly notifies appropriate party of their arrival.
    • Operates standard office equipment as necessary, including but not limited to computers/laptops, printers/scanners, fax machines and postage meter.
    • Make copies and scan tax documents.
    • In-take tax documents
    • Bulk mail yearly organizers
    • Assemble final tax package and provide to client
    • Handle checks and credit card payments over the phone
    • Maintain cleanliness of the entire office and restock conference rooms, kitchen and lunch rooms.
    • Perform duties as needed


    Obtained or in the process of obtaining college degree with minimum of high school diploma or general education degree (GED).

    Minimum 1-2 years of administrative work experience in office environment.

    Minimum 2-3 years of experience in a financial industry.

    • Knowledge of QuickBooks Accounting Software is a plus
    • Knowledge of Lacerte Tax program is a plus

    The noise level in the work environment is usually moderate.

    The tax season creates a faster pace and more demand. We usually require overtime during the months of March, April, September and October.
